Privacy Policy

Beanstalk Kidz is operated by RC Management Systems, LLC ("we," "us," "our"). This policy covers the Beanstalk Kidz web application, the Beanstalk Kidz staff mobile app, and the Beanstalk Kidz Family (parent) mobile app (together, the "Service"). It applies to preschool/day care staff, administrators, and parents/guardians who use the Service, and describes what we collect about children enrolled through a parent's or program's use of the Service.

Beanstalk Kidz is used by preschools, day cares, and their families — not marketed or directed to children, and children do not create accounts or interact with the Service directly. Information about a child is entered by parents/guardians or program staff on the child's behalf.

Information We Collect

Account & contact information

• Staff: name, email, phone, role, hire date, and pay rate/pay type (for internal time-tracking; if a program uses a third-party payroll provider, payroll is processed on that provider's own platform — we do not store bank account or Social Security numbers).
• Parents/guardians: name, email, phone, home address, occupation (optional), and emergency contact details.

Information about enrolled children

• Name, date of birth, and gender.
• Health and safety information you choose to provide: allergies, medical notes, and authorized-pickup persons.
• Photos, where a parent/guardian has granted photo permission — used for daily activity updates, classroom records, and (with permission) program communications.
• Attendance, classroom assignment, and a QR code used for drop-off/pickup check-in.

Location information

When a parent uses self-service check-in/check-out, the Service reads the device's GPS location at the moment of check-in/out to confirm the parent is physically at the program's location (a safety measure to prevent remote check-ins). This location is not tracked continuously and is not used for any purpose beyond that single check-in/check-out event.

Payment information

Tuition and subscription payments are processed by Stripe, Inc. Card and bank account numbers are entered directly into Stripe's secure systems and never pass through or are stored on our servers — we retain only a Stripe-issued reference ID to identify your payment method for future charges.

Background check / clearance status

For staff, we may store the type, issue date, and expiration date of required clearances (e.g., criminal history, child abuse history, health assessments, CPR/First Aid certification) so programs can track compliance. We do not store the underlying certificates or clearance documents themselves.

Communications

Messages sent through the Service's in-app messaging (staff-to-parent updates and threads), and email/text messages sent to a program's Beanstalk Kidz inbox, are stored so staff can view and respond to them. We use Mailgun to send/receive email and a telecom provider to send/receive SMS text messages on the program's behalf.

How We Use Information

• To operate core features: enrollment, attendance, classroom assignments, tuition billing, messaging, and drop-off/pickup verification.
• To send notifications you or your program have opted into (e.g., check-in confirmations, billing reminders, classroom updates).
• To maintain safety and compliance records required by licensing regulations (attendance, ratios, clearances, incident reports).
• To provide customer support.

We do not sell personal information, and we do not use children's information for advertising or marketing.

Who We Share Information With

• Stripe — payment processing.
• Mailgun — sending/receiving program email.
• SMS/telecom provider — sending/receiving program text messages.
• Your program's staff and administrators — information about a child is visible to the staff and administrators of the specific program the child is enrolled in.
• SurePayroll (only if a program opts into managed payroll) — staff payroll is processed directly on SurePayroll's platform; we do not share payroll data ourselves, we only link staff to that provider's portal.

We do not share information with third parties for their own advertising purposes, and we do not use any analytics or advertising SDKs in the Beanstalk Kidz mobile apps.

Data Retention & Deletion

We retain program, staff, family, and child records for as long as an account remains active, plus a reasonable period after to meet recordkeeping and licensing requirements. To request deletion of your account or a child's information, email support@rcmanagementsystems.com — we will process deletion requests manually and confirm once complete, except where we are required to retain certain records by law or licensing regulation.

Data Security

We use industry-standard safeguards, including encrypted connections (HTTPS/TLS) and access controls limiting staff visibility to their own program's data. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

Children's Privacy

Beanstalk Kidz is a tool for licensed childcare programs and is not directed to children, and children do not directly provide information to or interact with the Service. All information about a child is entered by a parent/guardian or authorized program staff member. Parents/guardians may contact us at any time to review, correct, or request deletion of their child's information.

Your Choices

• Photo permission can be granted or withdrawn at any time through your program or by contacting us.
• Notification preferences (email, SMS, push) can be managed in your account settings.
• You may request a copy of, correction to, or deletion of your (or your child's) information at any time by contacting us.

Changes to This Policy

We may update this policy from time to time. Material changes will be posted here with an updated effective date.
